Job Description
- Create, review, and approve Purchase Orders (POs) in the system, ensuring accuracy of quantities, prices, and delivery dates.
- Monitor open POs, track status updates, and maintain up-to-date records in the procurement system.
- Communicate daily with suppliers to confirm orders, negotiate pricing, payment terms, and discounts, and resolve any delivery or quality issues.
- Schedule purchases based on stock levels, warehouse capacity, and budget constraints to avoid overstock and stockouts.
- Define monthly or quarterly procurement targets for suppliers in alignment with sales forecasts and performance history.
- Align with suppliers on promotional support, inventory planning, and shared responsibilities.
- Follow up on pending contracts, set clear deadlines, and ensure timely completion and signing.
- Evaluate supplier quotes, analyze pricing trends, and benchmark costs to enhance margins and procurement efficiency.
- Monitor daily stock levels and reorder points, prioritizing critical or fast-moving SKUs.
- Coordinate the onboarding of new products, including sample approvals, pricing, and documentation (e.g., compliance certificates).
- Assign item codes and maintain accurate master data in Tawfeer systems.
- Track and evaluate supplier performance based on KPIs such as delivery accuracy, responsiveness, and product quality.
- Manage the vendor rating system to support strategic sourcing decisions.
- Ensure accurate recordkeeping of all items, POs, and invoices.
- Handle product returns (RTO) for damaged, expired, or non-compliant items, and coordinate with Finance on credit/debit note settlements.
- Prepare and submit daily reports on purchase status, pending POs, and critical items.
- Participate in planning and alignment meetings with internal teams.
Job Requirements
- Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field.
- 2–4 years of proven experience in procurement, purchasing, or supply chain (FMCG or B2B experience is a plus).
- Solid knowledge of purchasing processes, supplier management, and inventory control.
- Proficiency in Microsoft Excel (pivot tables, VLOOKUP, basic analytics).
- Understanding of cost analysis and price benchmarking.
- Familiarity with vendor KPIs and performance evaluation methods.
- Strong attention to detail with the ability to analyze data, identify trends, and make cost-effective purchasing decisions.
- Ability to manage multiple orders and suppliers while maintaining accuracy and meeting deadlines.
- Capable of defining and tracking procurement targets.
- Excellent negotiation and relationship management skills.
- Ability to communicate professionally with suppliers, internal stakeholders, and cross-functional teams.
- Strong organizational and time management skills.
- Proactive problem-solver with a hands-on approach to resolving delivery or supply chain issues.
