Job Description
- Perform as the Calling Hub for receiving all Corrective maintenance request orders regarding Dialysis Units through calls, faxes or emails as well as logging them on the Maintenance MIS for communication to Engineers and Tracking,
- Notify Maintenance Engineers with Maintenance Requests, assist them formulate their call fulfillment/coverage plans as well as log their deployment time,
- Handle all Office Administration and Secretarial support functions for the maintenance unit/function including Documentation, Correspondences, Phone calls, external and internal coordination and follow-up tasks, stationary requirements and some additional tools (in coordination with the purchasing/inventory functions) etc…
- Issue Maintenance service invoices according the function processes and procedures, provide to Engineers for submittal to Customers and provide copies to the Finance function for tracking and collection,
- Receive Installations/Projects requests and allocate them to the designated engineers for deployment with the approval of the Maintenance Manager as well as follow-up on the final sign-off documentation from the Client for completion of Installation activities,
- Compile the weekly reports for maintenance engineers including coverage and provide comprehensive reports to Maintenance Manager on a Monthly basis including petty cash, allowances (in accordance with HR policy), spare parts stocks and defective spare parts (in accordance to warranty policy) as well as filling of their performance documentation,
- Prepare the tender documents for maintenance related operations including new preventative maintenance contracts or sales of Citrosteril and other spare parts,
- Handle the preparation of new contracts (New and Updates) for preventative and corrective maintenance for clients as well as keeping updated filling to issue invoices as well as make proper decisions regarding continuation of service,
- Follow-up the signature of the contract and fulfillment of their requirements as well as Issue the regular Invoices for preventative maintenance as well as follow-up with clients (directly or through respective engineers) for receipt and compliance with the original contracts,
- Compile spare parts utilization records for preparation of new spare parts requests from original equipment vendors in coordination with the Maintenance Manager,
- Responsible for issue PR for spare parts & Maintenance requirements
- Responsible for issuing LG
Job Requirements
Education:
- University degree – Prefer Business Administration or Others…
- Training/coaching in Office Management, Administration and Secretarial Work,
- Very Good command in MS Office applications especially database,
- Good command of English Language (Written/Spoken),
Experience:
- Prefer 1-3 years in a similar Administration position (Sales/Territory/Region Manager/Distribution),
- Originating from Sales function backgrounds,
