Job Description

Job Summary:
The Operations Coordinator is responsible for coordinating the end-to-end logistics of freight shipments via air, sea, or land, ensuring timely, accurate, and cost-effective delivery. This role involves extensive communication with customers, carriers, customs authorities, and internal teams, as well as meticulous documentation and problem resolution.


Key Responsibilities:

  • Shipment Coordination & Execution
  • Coordinate the movement of goods from origin to destination across various modes of transport (air, sea, land).
  • Manage bookings with carriers, shipping lines, and airlines, ensuring optimal rates and routes.
  • Track and trace shipments proactively, providing regular updates to customers and internal stakeholders.
  • Monitor shipment progress, identify potential delays or issues, and implement proactive solutions to mitigate disruptions.
  • Arrange for cargo pick-up, warehousing, and final delivery, including coordination with trucking companies and local agents
  • Documentation Management:
  • Prepare, review, and process all necessary shipping documentation, 
  • Ensure all documentation is accurate, complete, and compliant with international shipping regulations and company policies.
  • Maintain accurate records of shipments, documentation, and operational activities
  • Customer Service & Relationship Management:
  • Serve as the primary point of contact for clients, providing timely updates on shipment status, addressing inquiries, and resolving issues or concerns.
  • Build and maintain strong, positive relationships with customers, ensuring high levels of satisfaction and repeat business.
  • Proactively communicate any operational issues, delays, or changes to customers and offer appropriate solutions
  • Carrier & Vendor Management:
  • Negotiate rates and terms with carriers, customs brokers, warehouses, and other third-party vendors to ensure cost-effective solutions.
  • Build and maintain strong working relationships with all partners in the logistics chain.
  • Evaluate carrier performance and provide feedback for service improvement
  • Compliance & Regulatory Knowledge:
  • Ensure full compliance with international shipping regulations, including import/export laws, customs procedures, tariffs, and relevant industry standards (e.g., Incoterms).
  • Stay updated on industry trends, changes in regulations, and best practices in freight forwarding.
  • Work closely with customs brokers and regulatory authorities to facilitate smooth customs clearance processes
  • Problem-Solving & Issue Resolution:
  • Address and resolve any operational issues, discrepancies, or emergencies that may arise during transit (e.g., delays, damages, lost goods, customs issues).
  • Handle claims or disputes related to damaged or lost goods efficiently and effectively, ensuring customer satisfaction
  • Reporting & Administrative Support:
  • Maintain accurate data in the company's freight forwarding software/systems.
  • Prepare regular reports on operational performance, cost efficiency, key performance indicators (KPIs), and other relevant metrics.
  • Provide administrative support to the operations team as needed.
     

Job Requirements

Qualifications:

  • Education: Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field. A Diploma with relevant experience may also be considered.
  • Experience: Minimum of 2-3 years of experience in freight forwarding operations, logistics, or a similar role. Experience in both import and export operations (air, sea, and land freight) is highly desirable.
  • Language Skills: Excellent communication skills, both written and verbal, in English and Arabic.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with freight forwarding
