Operations Executive – Events & Creative
Location: Remote (Egypt based)
Reports to: Business Strategy and Operations, with support to Founder

Role Overview
We are looking for a highly organized Operations Executive to provide structure and support across our busy, remote-first team. This hybrid role combines project coordination (keeping calendars, workflows, and deliverables on track), shared inbox management, basic QC of final designs, and executive assistance for senior leadership.
You will be the person who makes sure tasks don’t slip through the cracks, WhatsApp conversations are turned into action points, shared inboxes are monitored, and senior leaders can focus on strategy and client work instead of routine admin.
Key Responsibilities
- Maintain the master calendar of events, deliverables, and sponsor timelines
- Capture updates from WhatsApp and log them into Microsoft Planner / Outlook (and Click Up for creative projects)
- Send weekly digests summarizing deadlines, priorities, and follow-ups
- Monitor task progress, send reminders, and escalate when needed
- Monitor and manage shared inboxes, assigning emails to the right team member or replying with templates where appropriate
- Draft and format presentations, proposals, and quotes using Microsoft Office templates
- Assist with the preparation of agendas, reports, contracts, and client communications
- Maintain and update company's templates to ensure consistency across documents
- Perform QC (quality control) checks on final designs and collateral before release, checking for typos, formatting errors, and alignment with briefs
- Assist senior leadership with emails, expense claims, and routine documentation•
- Schedule and confirm meetings with speakers, sponsors, and clients
Job Requirements
- 3–5 years experience in project coordination, operations, or executive support
- Fluent in written and spoken English (required)
- Bachelor’s degree in Business Administration, Communications, or related field preferred; equivalent work experience considered
- Proficient in Microsoft Office (PowerPoint, Word, Excel, Outlook); able to independently prepare professional proposals and presentations
- Strong knowledge of Microsoft 365 (Planner, OneNote, Teams)
- Familiarity with Click Up or similar project tools (Asana, Trello)
- Organized, detail-oriented, and proactive communicator
- Strong interpersonal skills: assertive in follow-ups while maintaining a friendly, professional tone
- High emotional intelligence; able to build trust and secure buy-in from team members
- Experience in events, creative agencies, or healthcare/pharma is a plus
- Must have own laptop/PC and reliable internet connection suitable for remote work
