About the role
Executive Office Assistant – Energy Trading & Projects (Bilingual Arabic/English)
Key responsibilities
- Manage calendars, travel and meeting logistics for the Managing Director and project team.
- Track key deliverables, bid deadlines and contract milestones using Outlook, MS Project, or Monday.com Gantt boards.
- Prepare, proof‑read and format documents (Word proposals, Excel cost sheets, PowerPoint pitch decks) with fast turn‑around.
- Timeline tracking: build and update Gantt or task boards in MS Project, Monday.com, Asana or Trello; chase deliverables ahead of deadlines.
- Front‑of‑house duties: greet visitors, coordinate visas/accommodation for overseas partners, handle courier and document control.
- Basic bookkeeping support: expense reconciliation, logging, vendor invoice follow‑up.
- Maintain an organised digital & physical filing system (scanning, naming conventions, version control).
- Assist HR with onboarding paperwork for new hires.
- Office support: order supplies, liaise with IT, coordinate onboarding logistics for new hires.
- Manage company website and LinkedIn.
Job Requirements
Minimum qualifications
Must‑have
- 1‑3 yrs experience as secretary, admin assistant or front‑office coordinator in a fast‑paced environment
- Confident spoken & written English (emails, phone) + native Arabic
- Advanced MS Office (Word styles, Excel formulas & pivots, PowerPoint templates)
- Familiar with calendar & task tools (Outlook, Google Workspace, Teams) and at least one project‑management or Gantt platform (MS Project, Monday.com, Asana, Trello).
- Strong organisational & time‑management skills; discretion with sensitive data
- Ability to operate office equipment (multifunction printers, binding machines)
- Strong organisational skills, eye for detail and the calm to juggle multiple deadlines.
- CRM basics (Salesforce, Zoho, or equivalent).
Nice‑to‑have / Bonus
- Basic bookkeeping/ERP (QuickBooks, Odoo)
- Certificate in Office Management / Executive PA or similar
- Notion / ClickUp power‑user
- Basic business‑level French or Italian
- Power‑BI dashboards or Adobe Acrobat Pro
- Prior exposure to energy, engineering or shipping sectors
- Event‑planning or HR‑onboarding experience.
