Job Description

The Operations Coordinator / Logistics and Administration Manager will oversee and manage daily operations within the company, ensuring efficient logistics support, administration, and coordination across various departments. The role requires a proactive approach to maintain and improve operational workflows, support sales activities, manage stock and assets, and ensure compliance with company policies and procedures.Key Responsibilities:Logistics and Inventory Management:Oversee van stock loading through Mirnah software.Conduct monthly surprise checks of vans and organize stocks from other regions to ensure stock accuracy and availability.Make Purchase Requests (PR) for stocks and ensure Purchase Orders (PO) and Goods Received Notes (GRN) are processed accurately.Financial Coordination:Manage settlements and money collections from salesmen, ensuring timely reporting and reconciliation with accounts.Update pricing information as required to maintain profitability and market competitiveness.Sales Support:Address daily issues faced by van salesmen to improve sales efficiency and resolve any software-related issues with IT support.Visit customers who have outstanding payments and manage relationships to ensure timely collections.Human Resources and Administrative Support:Coordinate with HR for salary processing, iqama, transfers, and incentive schemes.Handle coordination for van-related issues, including accidents, with the purchase department.Reporting and Analysis:Perform ageing analysis bi-weekly to monitor account receivables and financial health.Ensure reports are sent as required to management to aid in decision-making.Quality Assurance and Service Management:Manage service issues related to Geepas and ensure timely receipt of damaged tools.Conduct regular visits to Jizan and other regions to oversee operations and maintain service quality.Compliance and Best Practices:Ensure all operations comply with legal and company standards.Continuously seek ways to improve process efficiency and cost-effectiveness.Qualifications:Bachelor’s degree in Business Administration, Logistics, or a related field.Proven experience in van sales, operations management, logistics, or a similar role.Strong organizational and multitasking skills.Excellent communication and interpersonal skills.Proficient in van sales technologyWorking Conditions:Regular travel to company sites and customer locations is required.Monthly vehicle inspections and coordination tasks as needed.
