OverviewAs a Rental pool relationship Manager, you will be responsible for enrolling unit owners under the rental pool, managing agreements and maintaining owners’ relationship while adhering to company policies and legal regulations. As a Relationship Manager your primary responsibility is to cultivate and maintain strong relationships with individual unit owners.Your role involves convincing unit owners to participate in the organisations rental program, providing support, addressing concerns, and ensuring a mutually beneficial partnership between the organisation and the unit owners.Key AccountabilitiesEnrolment of Unit Owners in Hotel Rental Pool ProgramThe enrolment process for unit owners in a hotel rental pool program is essential for establishing a mutually beneficial partnership between the organisation and individual owners. This process involves communication, negotiation, and agreement on terms to ensure that both parties understand their roles, responsibilities, and benefits within the rental pool program.Information Dissemination: Provide comprehensive information about the rental pool program to unit owners, including its benefits, terms, and conditions. Conduct informational sessions or meetings to address any questions or concerns raised by unit owners. Negotiation of Terms: Collaborate with unit owners to negotiate terms of participation in the rental pool program, including revenue propositions, occupancy rates, and management fees. Customize agreements to accommodate the unique needs and preferences of individual unit owners while aligning with the overall objectives of the rental pool program. Documentation and Contracting: Prepare legal documents, such as participation agreements or lease agreements, outlining the terms and conditions of enrolment in the rental pool program. Manage all aspects of lease agreements, including drafting, negotiation, and execution. Maintain accurate records of lease terms, renewals, and terminations. Property Assessment and Standardization: Conduct a thorough assessment of each unit to ensure that it meets the standards and requirements for inclusion in the rental pool program. Coordinate with unit owners to address any deficiencies or necessary improvements to align with program standards. Onboarding: Provide orientation for unit owners on the operational procedures, booking systems, and guest service standards of the rental pool program. Conduct orientation sessions to familiarize and reiterate unit owners with their rights, responsibilities, and benefits as participants in the rental pool program Ensure that unit owners understand their roles and responsibilities in maintaining their units and adhering to program guidelines. Managing owners’ relationship and Operational Support to rental pool programOngoing Communication and Support: Maintain open lines of communication with unit owners to address any issues, questions, or feedback related to their participation in the rental pool program. Provide ongoing support, guidance, and assistance to unit owners to maximize their success and satisfaction within the program. Relationship Building: Cultivate strong relationships with unit owners through personalized interactions, site visits, and networking events. Understand the unique needs and preferences of each unit owner, tailoring services and support to meet their expectations and foster trust and loyalty. Conflict Resolution: Act as a mediator in resolving disputes or conflicts between unit owners and the organisation, ensuring fair and equitable resolutions that uphold the integrity of the rental pool program. Facilitate constructive dialogue and negotiation between parties to reach mutually beneficial agreements. Legal Compliance: Stay abreast of local, state, and federal regulations governing property leasing and management. Be conversant with authority requirements (DLD (Ejari, title deeds, RERA) Be conversant with (DDA, DM, DTCM) requirements. Ensure that all agreements are clear, transparent, and legally binding to protect the interests of both parties. Ensure lease agreements and rental practices comply with fair Holiday home rental laws and other legal requirements. Collaborate with legal counsel as needed to resolve legal issues and mitigate risks. KPI’s and reporting Achieve agreed KPI’s Prepare monthly report on the performance of the divisionQUALIFICATIONS:Bachelor’s degree in real estate, Business Administration, or related field (preferred). Proven experience in unit owners’ enrolment, and relationship building administration. Expertise on market forces, competition pricing contractual arrangements of the competition Minimum 5 years' experience, particularly in the short-let industry. Strong understanding of rental pool, contract negotiation, and property law. Excellent communication, negotiation, and interpersonal skills. Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced environment. Detail-oriented with strong analytical and problem-solving abilities. Professional certifications (e.g., Certified Property Manager, Real Estate License) are a plus.
