Job Description

The academic coordinator will be responsible for providing support to faculties and liaising with academic staff in the assigned faculty and the central administrative staff for both undergrad and postgrad programs. 

– Coordinate and attend faculty and committee meetings, including room reservations, meeting proposals, meeting minutes and attendance tracking. 

-Maintain faculty-related content for websites, including intake, personnel, course information. Gather, input and manage information. 

-Responsible for the coordination and enrollment for the MBA program. 

-Enroll new students and faculty in safety courses every semester. 

-Serve as support contact for faculty for power campus, D2l, Moodle or any platform for course management. 

-Archiving all documents related to faculty operation: calendars, schedules, faculty and staff lists, outlines, resumes. And serves as source of information to all staff and faculty on policies, procedures, and office activities related to faculty affairs. 

-Coordinate with different departments to facilitate faculty operation (IT, admission, registrar, library, marketing, industry Partnership... 

-Ensure that all faculty and students get their university access in a timely manner. 

-Handle student advising process. 

-Handle course evaluation process. 

-Handle exam proctoring process. 

-Archiving and scanning of exam and course material every semester 

-Ensure enough supplies are available although the semester for faculty. 

-Assist in the accreditation process of the faculty as required. 

-Track and analyze and update student data such as enrollment, withdrawal, GPA…… 

-Ensures that all final grades are submitted to the Registrar’s Office by the designated time. 

-Assists with budget preparation and monitors budget balances; and submits departmental purchases/ travel requests/reimbursement with appropriate information and account numbers to the Associate Dean -Assists with schedule development. 

-Analyze data as required. 

-Arrange meeting schedules for the Associate Dean 

-Other duties may be required as assigned by the Associate Dean. 

Job Requirements

  • Proven work experience as an Academic Advisor or similar role is a must
  • Strong communication and interpersonal skills
  • Ability to maintain accurate and updated records concerning student performance
  • Understanding of institutional policies, procedures, and resources
  • A desire to help students in their academic journey, from enrollment to graduation
  • Relevant training and/or certifications as an Academic Advisor
