Job Description
- Provide administrative support to the Program Director and faculty, including drafting communications, coordinating travel arrangements, and managing schedules.
- Organize meetings, prepare and distribute minutes, track follow-up actions, and handle correspondence with visitors on behalf of the Program Director.
- Support the Program Head in preparing hiring memos and orientation for Adjunct Professors and Teaching Assistants.
- Ensure program expenses are monitored and maintained within the allocated budget established by the Program Head.
- Maintain up-to-date records of all program-related data, including courses, faculty, and TAs, and provide this information as required.
- Assist the Program Head in managing and following up on semester course files, textbooks, program exit surveys, and action plans.
- Support the preparation of course offerings and schedules by working with the Program Head, Faculty Affairs Manager, Registrar, and Scheduling Coordinator before the semester begins.
- Coordinate the ordering, maintenance, and upkeep of faculty and TA resources—such as stationery, PCs, and furniture—ensuring all equipment is functional and promptly repaired.
- Oversee purchasing activities, coordinate with the purchasing department, and handle invoice preparation and tracking.
- Maintain organized and confidential records for both graduate and undergraduate programs.
- Prepare and manage filing systems for academic and administrative documentation.
- Keep detailed personnel records for all program faculty members.
- Maintain records related to grants and scholarships.
- Liaise with the University's administrative units to facilitate timely information sharing.
Job Requirements
- Bachelor's degree is a Must
- Fluent in English and Arabic
- Excellent organizational, communication, and time management skills.
- Proficient in office software and equipment
- Experience with business writing, time management, and presentation
