Job Description
1. Administrative Support:
- Maintain and organize QA documentation, including Standard Operating Procedures (SOPs), work instructions, and quality records.
- Schedule and coordinate QA meetings, including preparing agendas, taking minutes, and tracking action items.
- Assist in the preparation of reports, presentations, and dashboards for the QA team and senior management.
- Manage the QA department’s calendar, including scheduling audits, inspections, and training sessions.
2. Documentation and Record-Keeping:
- Ensure all QA documents are up-to-date, accurate, and compliant with regulatory standards (e.g., ISO)
- Maintain records of non-conformities, corrective actions, and preventive actions (CAPA).
- Assist in the development, review, and revision of QA policies, procedures, and manuals.
- Organize and archive QA records for easy retrieval during audits or inspections.
3. Audit and Compliance Support:
- Assist in the preparation and execution of internal and external audits.
- Track audit findings and follow up on corrective actions to ensure timely resolution.
- Support compliance activities by ensuring adherence to regulatory requirements and industry standards.
- Maintain audit schedules and ensure all necessary documentation is ready for review.
4. Coordination and Communication:
- Act as a liaison between the QA department and other departments.
- Communicate QA updates, changes, and requirements to relevant teams.
- Coordinate with external stakeholders, such as suppliers or regulatory bodies, as needed.
- Facilitate training sessions on QA processes and procedures for employees.
5. Quality Improvement Initiatives:
- Assist in the implementation of quality improvement programs and initiatives.
- Collect and analyze data to identify trends, root causes, and areas for improvement.
- Support the QA team in developing and implementing best practices.
6. General QA Support:
- Assist in the inspection and testing of raw materials, in-process goods, and finished products as needed.
- Support the QA team in investigating customer complaints and quality issues.
- Perform other duties as assigned by the QA Manager or Head of QA.
Job Requirements
- Education:
- Bachelor’s degree in Quality Management, Business Administration or a related field.
- Relevant certifications (e.g., Certified Quality Improvement Associate (CQIA), ISO 9001 Lead Auditor) are a plus.
- Experience:
- 1-2 years of experience in a QA, administrative, or coordination role.
- Experience in our regulated industry is preferred.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with Quality Management Systems (QMS).
- Basic understanding of regulatory standards (e.g., ISO 9001).
