Job Description

  • Maintain an accurate and detailed calendar for the COO, manage and log incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflicts.
  • Follow up and track COO’s and operational department's tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments.
  • Organize internal and external meetings for the COO, including logistical, and substantive preparation. Manage all scheduling and arrangements.
  • Transcribing or taking notes during meetings and writing minutes, memos, and/or agendas
  • Provide Analysis for all Key performance indicators and success factors of operational departments
  • Provide Quality Coordination between operational departments and IT departments.
  • Provide ERP system Coordination for operational departments and quality departments.
  • Provide special project leadership and support as needed. This is including any quality improvement projects.
  • Ensure consistent and efficient interaction with other chief officers,

  • Conduct preliminary research on a variety of topics; draft materials as needed
  • Support COO and operational department heads in finalizing and refining correspondences and sending memos
  • Collecting, filing, and organizing office documents, such as reports and confidential records and maintaining databases
  • Managing digital document filing, including encrypted documents and email correspondence
  • Monitoring office inventory and ordering supplies
  • for operational department heads, staff, and other executive assistants across the organization; demonstrating poise and tact under pressure and handling matters with sound judgment and confidentiality.
  • Perform any other relevant duties as assigned

Job Requirements

  • B.Sc. Related to the Required Job. Preferable additional studies.
  • Minimum experience 5 on equivalent Position.
  • Excellent command of Microsoft Office (Word, PowerPoint, Excel)
  • Excellent command of Arabic correspondences.
  • Good command of English correspondences.
  • Preferable Awareness of national and international standards related to medical equipment management (e.g. GAHAR, JCI, ISO…)
