Job Description

  • Receive, review, and classify all maintenance documents (both hard copy and digital).
  • Maintain up-to-date service records for each vehicle in the fleet.
  • Organize and archive work orders, breakdown reports, and technical documents.
  • Coordinate with engineers and technicians to ensure documentation accuracy.
  • Track preventive maintenance schedules and notify relevant personnel of upcoming services.
  • Ensure availability and documentation of spare parts issuance from stores.
  • Support internal and external audits by providing requested documentation.
  • Ensure compliance with company policies regarding document control and data confidentiality.
  • Assist in preparing maintenance reports and summaries when needed.

Job Requirements

  • Diploma or Bachelor's degree in administration, logistics, or a related field.
  • Previous experience in document control, preferably in the maintenance or transportation sectors.
  • Strong attention to detail and organizational skills.
  • Proficiency in MS Office (especially Excel) and document management systems.
  • Ability to work under pressure and handle multiple priorities.
  • Good communication and coordination skills.
