Job Description
- Serve visitors by greeting, welcoming, directing and announcing them appropriately
- Answer, screen and forward any incoming phone calls while providing basic information when needed
- Receive and sort daily mail/deliveries/couriers
- Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
- Update appointment calendars and schedule meetings/appointments
- Supervise the Office boys task regarding the office cleaning.
- Forwarding any incoming phone calls while providing basic information when needed
- Monthly update of the internal phones extensions by (Full names, title and new number)
- Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Deal with queries from the public and customers
- Ensure knowledge of staff movements in and out of organization
- Assist in preparing correspondence and documents
- Schedule appointments
- Maintain appointment diary either manually or electronically
- Organize conference and meeting room reservations
- Monitor and maintain office equipment and stationary
- Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
