About the Job
  • Manages calendars, independently schedules appointments, reviews invitees, collects materials and prepares Executive for meetings
  • Prepares records such as agenda, notices, minutes, and resolutions for meetings, schedules guests, and distributes materials in advance
  • Assist with sorting, prioritization and disposition of incoming calls and correspondence (email and postal mail), responding independently when appropriate
  • Follows-up on action items with direct reports on behalf of reporting manager
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings; Prepares and tracks expense reports
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget
  • May provide support and direction to other clerical and administrative support staff
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents
  • Compiles & analyzes data, and prepares reports and/or recommendations for executive level staff

Job Requirements

PREFERRED QUALIFICATIONS:

  • High School Diploma or equivalent
  • 3+ years experience in an administrative support or similar role required
  • Excellent PC skills; Expert knowledge of MS Outlook, Word, PowerPoint, and Excel
  • Proactive, high level of ownership, focused on completing tasks accurately and in timely manner
  • Ability to work independently and as member of team
  • Organizational skills with ability to manage multiple tasks or projects simultaneously, ability to set priorities
  • Good problem solving and issues management capabilities
  • Ability to manage cross-functionally across multiple offices in different countries
  • Very good verbal and written communication skills
  • Strong customer service oriented attitude and mindset
  • Ability to problem solve and innovate with bottom line results
  • Must be a detail oriented finisher despite distractions
  • Very good written and verbal English skills; experience working in English language environment, including facilitation of face-to-face and conference call meetings in English
