Job Description
Pre-Project Delivery needs and Logistics Coordination:
- Coordinate activities, resources, equipment and information needed for respective PDs allocated in different governorates.
- Help prepare project budget with Project Manager.
- Assist Project Manager and act as his/her ally.
- Assist in scheduling and implementing project deliverables.
- Setting up trainings logistics and resources needed before training take place including (handouts, materials printing and preparation).
- Book and reserve of PDs transportation, accommodation and travel tickets.
- Design printing plan for next phase to ensure documents and manuals delivery to PDs before project execution date.
- Managing and keeping an inventory for trainings materials and tools.
Post Project Delivery Tracking and Coordination:
- Track submission of delivery of related document/form by PDs (registration, pre-and post per module, satisfaction, status quo,.
- Track submission of all pictures and videos.
- Track submission vacation requests.
- Execute printing plan for manuals, template and certificate.
Initiative Page / Network Coordination and Content Management:
- Developing weekly plan on posting.
- Response to teachers comments constantly.
- Brainstorm on the incentive scheme to motivate teacher for next phase with simple things.
Data Management and Consolidation:
- Develop and manage the data entry process (including follow up with the volunteers)
- Collect all resources / platforms in one place from the page, PD team.
- Collect all pictures & videos in one place (Have checklist with who submitted and who didn't)
- Assist Project Manager in the reports to Donors and planning when needed.
Team Assistance and Coordination:
- Coordinating with team needed meetings per Project Manager requirements.
- Managing and keeping an inventory for trainings materials and tools for team.
Internal Reporting and Internal Communication:
- Filling in and submitting direct reports.
- Write, email and save on the google drive all PD meetings mins.
- Attending follow up with Direct Manager.
- Attending monthly Staff meeting and team gatherings like bonding etc..
Job Requirements
- Education: University Bachelor's degree any field.
- Specialized Knowledge: Previous experience in administrative work or project coordination is a plus.
- Skills: Excellent written and verbal communication skills, an eye for detail, experience using word processing programs and spreadsheets, ability to multi-task, proficiency in Arabic Language (written and spoken) communication and collaboration, intellect, self-motivated.
