Job Description

Duties & Responsibilities

  • Calendar Management – Schedule meetings, resolve scheduling conflicts, and manage the general organization of day-to-day activities to ensure the CEO is aware of all scheduled obligations.
  • Write effective business correspondence utilizing notes from CEO.
  • Facilitate meeting management including creation of agendas, running reports, meeting notes, and follow-up items.
  • Handle a variety of personal details and needs, while maintaining discretion and a high level of confidentiality.
  • Coordinate travel arrangements.
  • Facilitate smooth communications between CEO and colleagues.
  • Perform general administrative and support duties including answering telephones, maintaining files, copying, faxing, etc. Work in cooperation with and provide coverage for Receptionist when needed.
  • Provide occasional support for other members of the executive team.
  • Various miscellaneous tasks as assigned.

  • Highly organized and efficient with strong attention to detail
  • Superior interpersonal skills with the ability to deal with strong personalities and to effectively interact with all levels of the organization
  • Quick learner with a positive, can-do attitude
  • Ability to communicate clearly and effectively (both verbally and in writing)
  • Ability to manage multiple deadlines skillfully while remaining flexible and adaptable to frequently changing priorities

Skills required:Qualifications:

  • Minimum three years proven work experience supporting a senior level executive and 7 years total experience
  • Bachelor’s degree (or Associate’s degree combined with relevant work experience)
  • Financial services experience is preferred
  • Strong experience with Microsoft Outlook, Word, Excel and PowerPoint
