Job Description
- Manage the General Manager's schedule, including scheduling meetings, appointments, and travel arrangements.
- Act as a primary point of contact and liaison between the General Manager and internal/external stakeholders, including staff, clients and partners.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communications, including screening calls, managing emails, and prioritizing information.
- Organize and maintain files and records, ensuring confidentiality and accessibility.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Conduct research, compile data, and prepare summaries to support the General Manager's decision-making.
- Assist with the planning and execution of special projects and initiatives as assigned by the General Manager.
- Coordinate and support administrative tasks for various departments as needed to ensure smooth operations.
- Handle confidential and sensitive information with discretion and professionalism.
- Anticipate the needs of the General Manager and proactively address potential issues.
- Step in to handle urgent matters and make decisions in the General Manager's absence, when authorized.
- Maintain a professional and organized office environment
Job Requirements
- Must be able to speak, read, and write English fluently.
- Bachelor’s degree in business administration or a related field, or equivalent work experience.
- Minimum of 5 years of experience in an administrative or executive support role, preferably supporting a senior executive
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Discretion and ability to handle confidential information with integrity.
- Proactive and resourceful with strong problem-solving abilities.
- Ability to work independently and as part of a team.
