Job Description

We are seeking a proactive and detail-oriented Lease Administrator to support our leasing department in daily operations, documentation management, and communication. This role plays a critical part in maintaining organizational efficiency, supporting lease contract processes, and ensuring smooth coordination between internal teams. 

Key Responsibilities: 

  • Prepare Lease Proposals in coordination with the leasing team and ensure timely updates to all stakeholders. 
  • Organize and circulate the Leasing Weekly Agenda, helping the team align on key objectives and meetings.
  •  Update leasing trackers regularly to reflect the real-time status of deals, proposals, and contracts. 
  • Maintain accurate document control systems, ensuring all leasing documents are filed and managed with proper versioning. 
  • Oversee OneDrive file arrangement and supervision, ensuring organized, secure, and easily accessible document storage.
  • Remind the leasing team of daily tasks and deadlines, supporting task follow-up and timely execution.
  • Manage team calendars and coordinate daily meetings, including booking meeting rooms and sending out invites. 
  • Handle the sending and receiving of leasing documents between the head office and malls, ensuring smooth, on-time delivery. 
  • Call and follow up with Customer Service Leads as required by the leasing team to assist with prospect engagement and coordination.
  •  Assist the Lease Contract Management Department with lease issuances, including coordination, document preparation, and process tracking.

Job Requirements

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
