Job Description
Manage and organize all documents related to technical and financial proposals for projects.
Receive, review, and classify incoming tender documents (RFPs, RFQs, BOQs, Drawings, etc.).
Create and maintain an organized filing system (both digital and physical) to ensure easy access and retrieval.
Coordinate with engineering, procurement, finance, HR, and other departments to gather required data and documents.
Follow up on pending inputs and ensure timely collection of proposal-related materials.
Ensure all documents comply with company templates and formatting standards.
Proofread documents for spelling, grammar, consistency, and layout before submission.
Maintain document version control, including tracking revisions and archiving outdated files.
Prepare and update logs and records for all proposal-related documents.
Generate regular reports showing document status, submission timelines, and any delays.
Handle all sensitive documents with confidentiality and ensure compliance with internal procedures.
Prepare final proposal packages for submission, ensuring correct file naming, formatting, and completeness.
Support proposal teams in meeting tight submission deadlines under pressur
Job Requirements
Bachelor’s degree in Business Administration, Information Systems, or a related field.
Minimum of 2–3 years of experience in document control, preferably in a project-based or construction environment.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Familiarity with Document Management Systems (DMS) is a plus.
Strong organizational and time management skills.
High attention to detail and accuracy in reviewing documents.
Ability to work under pressure and meet tight deadlines.
Good written and reading skills in English.
