Job Description
- Write and distribute email, correspondence memos, letters, faxes and forms in Arabic, English and Chinese
- Manage corresponds with different stakeholders abroad in English and Chinese language
- Ensure that all files, documents and contracts of the company are filed in a way that ensures quick access to them when needed
- Developing and maintaining a filing system for keeping paper and electronic files that takes into account the ease of circulation of files and documents while adhering to confidentiality considerations
- Update and maintain office policies and procedures
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Job Requirements
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Fluent in English - is a MUST-, both written and verbal, with a strong command of grammar and vocabulary
- Fluent in Chinese is a MUST - both written and verbal, preferable with hands on technical training or experience in a corporate
- Knowledge of office management systems and procedures
- Deep analytical skills and good with numbers
- Proficiency in MS Office (MS Excel and MS word in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
