Job Description

We are looking for an outstanding secretary to support administrative activities in our technology company. She will be responsible for monitoring daily emails, professionally sending messages in both Arabic and English, managing calls, as well as coordinating meetings and preparing reports. She must possess excellent communication skills, organizational abilities, problem-solving skills, and be able to work under pressure.

Responsibilities:

1. Follow up on daily emails and direct them according to specialization.

2. Professionally send emails in both Arabic and English.

3. Make necessary calls on behalf of the manager.

4. Take phone messages in the absence of the manager.

5. Work on required papers, documents, and forms.

6. Schedule meetings and send invitations to participants.

7. Record and document meeting notes and prepare meeting minutes.

8. Make necessary travel reservations and follow up on them.

9. Administer management tasks:

   - Follow up on assigned tasks.

   - Review the follow-up file daily.

   - Take appropriate action to address issues.

   - File completed matters in respective folders.

10. Follow up on maintenance requests and supervise their execution.

11. Place purchase orders for devices and tools not available in the department.

12. Proficiency in using Microsoft Office programs.

13. Familiarity with office equipment operation.

14. Prepare reports on work and employee-related statistics.

15. Coordinate additional work procedures and reports for employees.

Job Requirements

Skills:

1. Previous experience as a secretary or administrative assistant.

2. Proficiency in using Microsoft Office programs.

3. Excellent communication skills in both English and Arabic.

4. Attention to detail and problem-solving abilities.

5. Strong organizational and planning skills.

6. Ability to work under pressure and prioritize tasks.
