Job Description

Position Summary:

The Personal Assistant will be responsible for providing administrative and organizational support to VP and the broader leadership team. This role involves managing schedules, communications, travel arrangements, and other personal or professional tasks as required. The ideal candidate will be proactive, highly adaptable, and capable of maintaining discretion in handling sensitive information.

 

Key Responsibilities:

  • Calendar Management: Organize and manage the executive's calendar, including scheduling meetings, appointments, and events. Ensure that schedules are optimized for efficiency and time management.
  • Travel Coordination: Arrange domestic and international travel, including flight bookings, hotel accommodations, transportation, and detailed itineraries.
  • Communication Management: Act as the primary point of contact for internal and external communications, screening calls, and handling emails and messages in a timely manner.
  • Meeting Coordination: Organize meetings, including scheduling, preparing agendas, taking minutes, and ensuring that all necessary materials are available.
  • Document Preparation: Draft and proofread documents, emails, presentations, and reports as required by the executive team.
  • Task Management: Help prioritize tasks and projects for the executive team, ensuring that deadlines are met and deliverables are completed on time.
  • Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.
  • Office Management: Assist with office administration, including ordering supplies, maintaining filing systems, and coordinating with other departments to ensure smooth office operations.

Job Requirements

  • Minimum of 7 years of experience as an Executive Assistant, Personal Assistant, or Administrative Assistant.
  • Bachelor's degree in Business Administration, or a related field.
  • Excellent organizational and time-management skills with the ability to prioritize tasks independently.
  • Ability to communicate effectively and professionally with stakeholders at all levels, both in verbal and written form.
  • Must be highly presentable with a polished and professional appearance suitable for a high-end role.
  • Experience with Microsoft Office Suite, booking travel, expense management, and calendar management.
  • Ability to maintain confidentiality and discretion in handling sensitive information.
  • Excellent problem-solving skills with the ability to work under pressure and manage multiple tasks efficiently.
  • Experience working in a fast-paced, deadline-driven environment.
  • Fluent in English and Arabic.
