Job Description

  • Co-ordinate Operations Manager incoming/ outgoing calls.
  • Schedule and arrange meeting for Operations Manager as required.
  • Co-ordinate and arrange Operations Manager business trips.
  • Receive and route all correspondences/ mails etc. through Operations Manager including follow-up as required.
  • Organize crew change report and inform field personnel of the day of the following crew
  • Follow-up with other division's personnel for any pending plans and/ or commitments.
  • Perform Secretarial jobs including but not limited to typing, filing, receive, dispatch and distribute mails, correspondences, faxes etc.
  • Prepare Assessment Schedule of division’s employees beginning of each year and follow up the same throughout the year.
  • Prepare and submit Assessment Form to Operations Superintendent /Operations Manager 4 to 6 weeks before the anniversary of the respective employee.
  • Ensure house-keeping in the Office and maintain proper filing system.
  • Co-ordinate and/ or follow-up flow of correspondences, files, reports, mails etc., within MSE offices as well as clients.
  • Be courteous and professional in answering clients' calls and queries.
  • Assist Operations Manager in preparing of various reports and ensure routine follow-up.
  • Maintain copies of training certificates and update employees training record, and do necessary follow up.
  • Initiate documents for employees' increment, promotion, transfer, etc.
  • Receiving and dispatching of all correspondences, mails etc. to employees of all areas.
  • Booking of tickets as well as co-ordination to collect passports/work permits etc.
  • Receiving, logging and distribution of Daily Time Sheets.
  • Perform such other jobs that may be assigned to you by the Operations Manager from time to time.

Job Requirements

  • Bachelor Degree
  • Fluent English
  • Excellent in MS Excel, Word, Visio
