Job Description

Position Title: Contract Administrator
Department: Contracts/Commercial
Reports To: Contracts Manager/Project Director
Location: Sheraton
Employment Type: Full-Time/Contract

Position Overview:

We are seeking a highly skilled Contract Administrator with a recommended degree in Civil Engineering or Law and relevant experience in managing all aspects of FIDIC contracts. The successful candidate will be responsible for contract review, negotiation, claims management, and general contract administration throughout the project lifecycle. This role is critical to ensuring contractual compliance, effective risk management, and the successful delivery of civil engineering projects.

Key Responsibilities:

Contract Review & Administration

  • Oversee the implementation and administration of FIDIC-based contracts, ensuring all parties adhere to their contractual obligations throughout the project lifecycle.
  • Review, draft, and negotiate contractual agreements, ensuring terms and conditions are clear, comprehensive, and compliant with legal and regulatory requirements.
  • Manage contract documentation, including design drawings, site instructions, variation orders, and progress records.

Negotiation & Communication

  • Lead contract negotiations with clients, subcontractors, and suppliers to secure favorable terms and resolve potential conflicts.
  • Provide clear instructions and guidance on contractual matters to project teams and stakeholders.
  • Maintain transparent communication and reporting to keep all parties informed on contractual issues and project status.

Claims Management

  • Receive, review, and assess contractor claims, ensuring compliance with contract provisions and substantiating entitlement, cause, effect, and quantum.
  • Conduct consultations to clarify claim details and seek early resolution where possible.
  • Prepare fair and impartial determinations, issue notices of determination, and ensure timely responses to claims in accordance with FIDIC procedures.
  • Maintain comprehensive records to support claims and defend the company’s interests in potential disputes.

Valuation, Payments & Certifications

  • Evaluate executed work, prepare interim and final payment certificates, and ensure fair valuations in line with contract terms.
  • Manage adjustments to contract sums arising from variations, claims, or changes in project scope.

Risk & Compliance Management

  • Identify and mitigate contractual risks, ensuring all transactions comply with FIDIC and project-specific requirements.
  • Stay updated on legislative and regulatory changes affecting contracts and advise management accordingly.

Project Close-Out

  • Oversee contract close-out activities, including review and approval of final accounts, and issuance of completion and performance certificates.

Job Requirements

  • Education: Recommended degree in Civil Engineering or Law.
  • Experience: Relevant experience in contract administration within the civil engineering or construction sector, with a strong background in managing FIDIC contracts (Red, Yellow, or Silver Book).
  • Demonstrated proficiency in all aspects of FIDIC contract management, including contract review, negotiation, claims, and dispute resolution.
  • Strong analytical, organizational, and record-keeping skills with attention to detail.
  • Excellent negotiation, communication, and interpersonal abilities.
  • Proficient in English (verbal and written); additional languages are a plus.
  • Familiarity with project management software and MS Office Suite.
