Job Description
Responsibilities
- Perform an array of administrative tasks (manage calendars, book travel, schedule facilities and equipment, research topics, prepare documents, proposals, and presentations, etc.)
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Turn sketches of meeting notes into charts and documents.
- Open, sort, and distribute incoming correspondence, including faxes and email. File and retrieve corporate documents, records, and reports.
- Build efficiency and effective responsiveness and follow-up mechanisms into existing operations, and help define new operational workflows.
- Take exceptional notes and minutes, meeting follow-ups, interface with internal and external stakeholders, and go above and beyond to do whatever can help us focus on what we need to do.
- Manage personal relationships duties such as sending birthdays notes and gifts.
Job Requirements
- 2 years’ experience in an administrative role reporting directly to upper management
- Superb written and verbal communication skills
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Proficiency in Microsoft Office and other office productivity tools, with the aptitude to learn new software and systems
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Ability to keep company confidences
- Experience developing internal processes and filing systems
