Job Description

  • Provide comprehensive administrative and organizational support to the CEO, including managing schedules, appointments, and travel arrangements.
  • Coordinate and prioritize incoming requests, correspondence, and communications on behalf of the CEO.
  • Prepare, review, and edit reports, presentations, and other confidential documents for executive meetings.
  • Organize and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and effective communication.
  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Assist in project management tasks, tracking deadlines, and ensuring deliverables are met.
  • Oversee office logistics and administrative processes to ensure smooth daily operations.
  • Support the CEO in personal tasks and ad hoc assignments as required.
  • Anticipate the needs of the CEO and proactively address potential issues or opportunities.

Job Requirements

  • Minimum of 7 years of experience in a similar executive assistant or personal assistant role, preferably supporting C-level executives.
  • Proven ability to manage complex calendars, travel arrangements, and high-volume correspondence.
  • Exceptional organizational and multitasking skills with a keen attention to detail.
  • Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
  • Demonstrated ability to handle confidential information with discretion and professionalism.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
  • Excellent problem-solving skills and the ability to work independently under pressure.
  • Strong interpersonal skills with the ability to build relationships across all levels of the organization.
  • Flexibility to adapt to changing priorities and work outside regular office hours when necessary.
  • Experience in office management or administrative leadership is highly desirable.
