Job Description
Job Duties and Responsibilities include but are not limited to:
- Gives secretarial support to the Department Manager.
- Manages the daily calendar and coordinates scheduled appointments.
- Keep track of and Follows up on all pending and important issues
- Screens incoming calls and correspondence and responds independently when possible.
- Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters.
- Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
- Complete forms in accordance with company procedures.
- Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revision
- Prepares Power Point presentations once the material is prepared
- Prepares meeting’s agenda.
- Records the minutes of all Board meetings as well as the minutes of any committees to which the Secretary is assigned, making sure that all actions are duly noted.
- Keep a record of all policies approved by the Board in the association's policy manual
- Ensures minutes are distributed to members shortly after each meeting
- Maintains and establishes an updated filing system and database.
- Prepares confidential correspondence and reports.
- Arranges detailed travel plans, routes, and gathers needed for travel-related meetings.
Job Requirements
Education:
- Bachelor Degree in any discipline
Previous Experience:
- 0-2 years
Language:
- Fluent in English.
