Job Description
- Advise the Leasing Director on aspects of leasing that deviate from the leasing plan / budget.
- Act as a focal point internally across departments to facilitate the execution of Tenant requirements.
- Assist with operation issues such as tenant transition, processing of assignment -in cooperation with the tenants coordination team-, etc.
- Track pertinent lease information (i.e., leasing kick-outs, co-tenancies, expiration, renewals, etc.) and update departments.
- Maintain accuracy and timing of recurring rent schedules, option dates and other critical dates and notifications for new leases and those revised by lease amendments.
- Ensure contract requirements are met for commitments, changes, and payments.
- Update all changes pertaining to units (renewal, amendment, eviction, assignment, etc.)
- Support the Leasing Director by reviewing new lease and renewable co-tenancy of Gross Leasable Areas.
- Conduct a thorough review of the monthly / bi-weekly percentage rent.
- Prepare monthly-delineated reports, six-month expiration reports and new tenant reports.
- Report on leasing proposals against budgets, plans & commercial leasing.
- Coordinate with the accounting team accurate and detailed reconciliations of rent accounts to ensure compliance with lease terms.
- Ensure processing monthly rent payments and tenant billing -in cooperation with the accounting team-, including exception processing and accurate and timely payment and billing resolution.
- Prepare the contract for the tenant for any commercial lease.
- Receive, record, and file contract documents and correspondences related to the contract.
- Process the leases to make sure all the information is accurate and logged onto a database and filed appropriately.
- Maintain and update company’s contracts database.
- Supervise and secure storage of all Tenant lease files.
- Demonstrate adeptness in performing diverse administrative tasks, which include preparing Tenant verification forms & correspondence.
Job Requirements
- Bachelor’s degree in any related discipline.
- 6-8 years of relevant professional experience, with at least 2 years in a similar position.
- Experience in Real Estate is a must.
- Proficient Excel user, and experience in using SAP is a big plus.
