Job Description
- Ensures that office premises meet the needed standards, including maintenance, housekeeping and security, making sure the surrounding environment is in a suitable condition to work.
- Supervises administration management policies and process, optimize administration systems and get continuously improvement.
- Enhances admin team working capability of administration services and continuously delivers improved performance and new initiatives.
- Responsible for day-to-day office general administration at whole company as per company guidelines/standards, including but not limited to reception service and employee service.
- Responsible for sourcing, negotiating and monitoring daily supplies, constantly driving for cost reduction initiatives and manage all general administrative costs effectively.
- Managing the Archives Centre office and departmental administration.
- Responsible for express and freight management.
- Responsible for meeting and conference room management and relevant logistics support.
- Assisting with the organization and staging of visits, exhibitions and other events.
- Processes visitor requests for access to high security facilities.
- Update phone bills records with new payments, balances, customer information etc.
- Managing and coordinating transports related tasks including driver schedules, vehicle assignment, leaves, and overtime and weekend duty rosters.
