Job Description

  • Acting as a first point of contact: dealing with correspondence and phone calls
  • Carry out daily administrative activities of the Executive office while adhering to company’s policies and procedures
  • Typing, compiling and preparing reports, presentations and correspondence
  • Implementing and maintaining procedures/administrative systems
  • Carry out all filing works hard copes as well electronic copies (soft copies)
  • Managing databases and filing systems of company’s documents in GM office.
  • Provide secretarial support to the General Manager
  • Reminding the manager/executive of important tasks and deadlines
  • Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
  • Ensure all communications, particularly relating to owners, guests, project offices are handled promptly and professionally
  • Having a strong role in building and maintaining the company culture
  • Receive and distribute mail and maintain a separate file for GM’s office
  • Ensure outgoing mail is dispatched in a timely manner and maintain the required logs
  • Provide minutes to Executive Team Meetings and compile management reports in a timely and accurate manner if necessary
  • Maintain adequate supplies of office stationary with the coordination of purchasing dept.
  • Identify and build internal and external relationships with clients, staff, customers and suppliers
  • Organizing events and conferences, if needed and requested by GM
  • Any correspondences and copies forwarding must be with approval of GM
  • Perform other tasks as assigned by management/ General Manager

Job Requirements

  • Proven experience as an executive assistant or other relevant administrative support experience.
  • Experience in engineering and accounting is preferred
  • In-depth understanding of entire MS Office suite.
  • High school diploma.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with decision-making skills.
  • Professional level verbal and written communications skills.
