About the Job
- Responsible for daily operations of all secretarial work and Performs receptionist functions.
- Assisting in setting filling system and maintain hard copy and electronic filing system.
- Meet and greet clients and company’s guest.
- Sending Congratulatory telegram and a letter of condolence to customers, as the case.
- Answer all incoming calls and handle caller’s inquiries whenever possible and Re-direct calls as appropriate and take adequate messages when required and making conference telephone calls required of managers.
- Responsible for hotels and tickets reservation, booking and follow-up or cancellation and make contracts with hotels and Setup accommodation and entertainment arrangements for company visitors.
- Assist the Operations Department by receiving all Egypt Post phone calls and redirect them to the responsible operation team member.
- Maintain and archive confidential documents includes EP letters, Suppliers and POs.
- Handle relations with courier services providers like FedEx, Aramex and DHL.
- Preparing meetings and take appointments for the department managers.
- Manage the external communications and distribute incoming correspondence, including faxes and letters for all the other departments.
- Manage the relation with mobile operators as the authorized representatives of the company.
