Job Description
We are looking for a competent Secretary to support departments in our company by performing a variety of administrative tasks.
About the Job:
- Answer and screen phone calls, greet and receive guests.
- Prepare invoices, reports, memos, letters, meeting minutes and other documents.
- Assist in planning and preparing of meetings /presentations.
- Handle and prioritize all out going or incoming correspondences (e-mails, letters, faxes, etc.)
- Manage spreadsheets, word processing, database, and outlook emails.
- Responsible for the filing & documentation system.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Assist and organize schedules for (meetings, appointments, etc. )
- Operate office equipment, such as photocopy machine and scanner.
- Responsible for any internal communication with managers and employees.
- Monitor office supplies.
- Prepare reports as assigned.
- Provide clerical support to departments or individuals.
Job Requirements
- Bachelor Degree in a relevant discipline.
- Dynamic multi-task character that is able to handle work under pressure.
- A minimum of 5 years of experience in a similar job.
- Good Command of English.
- Pleasant personality.
- Excellent communication skills.
- Excellent organizational skills.
- Excellent command of computer.
- Excellent command of MS Office Package.
- Familiarity with basic research method and reporting techniques.
- High time-management skills and multitasking abilities.
