Job Description

Role Overview

The Junior Sales Operations Specialist supports sales operations efficiency by providing administrative, analytical, and coordination assistance to the sales, operations, logistics, finance, and warehouse teams. Guided by a senior specialist, this role ensures seamless daily processes and maintains service standards required by leading industrial brands.

Key Responsibilities

1. Sales Operations & Order Management

  • Handle sales order processing from receipt to delivery.
  • Coordinate with suppliers, warehouse, and logistics to ensure timely delivery.
  • Maintain accurate records for quotations, agreements, and purchase orders.

 

2. Customer & Internal Support

  • Respond to customer and sales inquiries promptly and professionally.
  • Prepare required documents such as quotations, product info, and technical data sheets.
  • Assist the sales team by coordinating order tracking and follow-ups.

 

3. Analysis & Reporting 

  • Prepare and update regular reports on sales performance, order trends, product movement, and customer buying behavior.
  • Analyze sales data to extract insights on customer needs, product performance, and sales opportunities.
  • Share recommendations and insights with the operations and sales teams to support decision-making and strategic planning.

 

4. Labeling & Logistics Support

  • Prepare product labels for all items prior to shipping or delivery.
  • Create labels for each product purchased by clients per order.
  • Coordinate with the warehouse and logistics team to ensure labeling is completed accurately and on time.

 

5. Stock & Collection Follow-Up

  • Support the finance team by updating and following up on the collection sheet.
  • Collaborate with the warehouse team to track and adjust stock sheets regularly for inventory accuracy.

 

6. CRM & Data System Support

  • Input and maintain accurate client and product information in the CRM system.
  • Ensure all sales-related data is regularly updated across tools and databases.

 

7. Team Collaboration & Growth

  • Support the senior operations specialist on cross-functional projects and tasks.
  • Participate in occasional product training and gain technical understanding of the products we represent.
  • Take initiative in improving operations processes and document workflows.

 

Job Requirements

Qualifications & Competencies

  • Bachelor’s degree in business administration, Engineering, or related field (preferred)
  • 1–2 years of experience in sales administration, customer service, or operations (internships applicable)
  • Strong attention to detail and organizational skills
  • Basic proficiency in Excel and CRM systems
  • Good communication skills in English
  • Ability to work efficiently in a dynamic team
  • Eager to learn about industrial products and solutions
