Job Description
Purpose
Responsible for handling L&D’s operational activities, including but not limited to attendance, evaluation, logistics, and financial settlements.
Responsibilities
- Contribute to the implementation of different L&D initiatives across the different geographies, in coordination with local HR representatives.
- Assist in handling the logistics necessary to conduct the firm’s annual DNA.
- Assist in consolidating the L&D requirements into a comprehensive training plan and accompanying calendar.
- Coordinate service level agreements and proposals with all vendors (training providers, hotels, travel agents).
- Handle all L&D logistics, including but not limited to: booking flights and accommodation, booking and setting up the venue, and preparing training materials and requirements (flip charts, notepads, visual aids, etc.).
- Maintain an up-to-date training calendar, and L&D datasheet at all times.
- Generate and share completion reports with the relevant stakeholders.
- Assist in monitoring L&D expenses and preparing budget reports to justify expenditures.
- Assist in the evaluation process for different L&D activities including; end of training evaluation, follow-ups, and check-in evaluations. Maintain and update evaluation records for all learning initiatives
- Process and settle all invoices and payments on time.
- Maintain updated records of all learning partners and service providers.
Reports & Policies:
- Assist in developing and maintaining an up-to-date training database both electronically and paper-based (programs, participants, providers, and cost).
- Prepare statistics and reports about the firm’s learning activities.
- Assist in preparing the monthly L&D report as part of the department’s monthly reporting.
- Ensure that the updated versions of the L&D policy and any related sub-policies or codes of conduct are properly disseminated and updated in all relevant mediums.
- Contribute to HR initiatives and projects as required.
- Ensure compliance with all applicable AML/CTF rules and regulations as required in the conduct of the role.
- Ensure timely completion of all relevant AML/CTF training provided by the Group.
- Ensure response to AML, CTF & sanctions inquiries promptly.
Job Requirements
- Bachelor’s degree in any discipline with a genuine interest in HR in general and L&D in specific.
- Formal HR qualification is highly preferred.
- 2 - 4 years experience in an HR position, preferably with L&D responsibilities
- Knowledge of training and development principles and practices.
- Solid, hands-on experience in dealing with international and local service providers and coordinating a broad range of L&D activities locally and internationally.
- Practical experience in coordinating various aspects of training programs and events.
- Able to compile comprehensive, accurate reports and documents, and collate data from several sources
- Proactive self-starter and ambitious.
- Excellent organizational and planning skills
- Able to plan and manage their workload with limited supervision.
- Good negotiation skills.
- Good presentation skills.
- Strong computer skills; Proficient user of Microsoft, Excel, and PowerPoint, and generally tech-savvy from an end-user perspective.
- Excellent command of English and Arabic.
- Excellent communication skills (written, verbal, and listening).
- Able to build partnerships and work well in teams.
- Can identify problems and refer/escalate complex issues to a higher level.
- Multi-tasker, with the ability to meet changing deadlines, and to prioritize and handle multiple projects.
- Detail-oriented; ensure deliverables are always of high quality.
Flexible in taking on new tasks.
