Job Description
1. Executive Support & Calendar Management
- Manage the CEO’s calendar, coordinating meetings, appointments, and events.
- Prioritize and schedule engagements, ensuring optimal time management.
- Prepare meeting agendas, presentations, and briefing materials for the CEO.
2. Communication & Correspondence
- Serve as the primary liaison between the CEO and internal/external stakeholders.
- Manage emails, calls, and official correspondence, ensuring timely responses.
- Draft, proofread, and format reports, proposals, and executive summaries.
3. Meeting & Event Coordination
- Organize and coordinate executive meetings, board meetings, and leadership events.
- Prepare and distribute meeting minutes, tracking follow-ups and action items.
- Plan and oversee corporate events, conferences, and networking engagements.
4. Office & Project Administration
- Assist the CEO in managing strategic projects, tracking key initiatives and deadlines.
- Maintain confidential records, legal documents, and company files.
- Oversee expense tracking, budgeting, and invoice approvals for the executive office.
5. Stakeholder & Relationship Management
- Coordinate with senior management, board members, investors, and clients.
- Build and maintain strong relationships with external partners and industry leaders.
- Represent the CEO in meetings, preparing follow-up reports and action plans.
6. Confidentiality & Discretion
- Handle sensitive business information with utmost confidentiality.
- Ensure compliance with corporate policies, governance, and ethical standards.
- Act as a trusted advisor, providing insights and recommendations to the CEO.
Job Requirements
Education and Training:
- Bachelor’s degree in Business Administration, Communications, or a related field.
Experience:
- 5+ years of experience as an Executive Assistant, Personal Assistant, or Administrative Manager.
- Experience in supporting C-level executives and managing corporate functions.
Knowledge:
- Strong understanding of business administration, executive operations, and corporate governance.
- Experience in confidential document handling, project coordination, and stakeholder communication.
Competencies:
- Strong organizational, problem-solving, and multitasking skills.
- High level of discretion and ability to handle sensitive information.
- Ability to work independently while maintaining executive-level support.
