We are an innovative staffing agency committed to connecting exceptional talent with outstanding opportunities with US companies.We are seeking a highly skilled individual to join our internal team as an Admin + Billing Assistant. The ideal candidate will be passionate about calculations, reporting, billing, and invoicing.9AM - 5PM EST - Fully remote.Responsibilities: Billing Management:Generate and send invoices to clients promptly and accurately. Ensure all invoices are documented and filed appropriately. Collaborate with the finance team to resolve any billing discrepancies. Monitor accounts receivable and follow up on outstanding payments. Payment Tracking:Maintain updated records of payments received. Track payment schedules and due dates to ensure timely collections. Reconcile payments with invoices and update financial records accordingly. Prepare reports on payment statuses for management review. Client Communication:Serve as a point of contact for billing inquiries from clients. Respond to client queries regarding invoices, payments, and billing processes in a timely and professional manner. Build and maintain positive relationships with clients through effective communication. Data Management:Utilize Google Sheets extensively for organizing, analyzing, and managing billing data. Create and maintain spreadsheets to track billing information, payment histories, and client details. Ensure data accuracy and integrity by conducting regular audits and reconciliations. Administrative Support:Assist with general administrative tasks as neededCollaborate with team members to streamline administrative processes and improve efficiency. Contribute to special projects or initiatives related to billing and administrative operations. Requirements:Previous experience in billing, finance, or administrative roles preferred. Advanced English Level C1/C2Proficiency in Google Sheets is a MUST Strong attention to detail and accuracy in data entry and record-keeping. Excellent organizational and time management skills. Enthusiasm and ability for collaborating with team members and willingness to meet daily to discuss progress, challenges, and strategies.
