Job Description

Driven to create unique home-grown food concepts that bring people together, the Independent Food Company is a UAE-based hospitality company with multiple concepts under it’s umbrella – SALT, Switch, Parker’s, Grind, Somewhere and Public.We are seeking a highly competent and motivated Executive Assistant to support our Executive. The ideal candidate will be a proactive and detail-oriented individual with exceptional organizational and communication skills. As an Executive Assistant, you will play a pivotal role in ensuring the smooth functioning of the executive's office and supporting their daily activities.ResponsibilitiesCoordinate and manage the executive's calendar, meetings, and appointments efficiently.Prepare and organize documents, reports, and presentations with accuracy and timeliness.Handle confidential and sensitive information with the utmost discretion.Act as the primary point of contact between the executive and internal/external stakeholders.Assist in making travel arrangements and logistics for business trips.Conduct research and gather information to aid in decision-making processes.Prioritize and manage multiple tasks effectively to meet deadlines.Collaborate with other departments to facilitate seamless communication and workflow.Provide administrative support as needed, including handling correspondence, expense reports, and office supplies management.Identify opportunities for process improvements to enhance the executive's productivity.RequirementsAs an Executive Assistant the following skills are highly beneficial:Microsoft Office: Proficiency in Word, Excel, PowerPoint, and Outlook for creating and managing documents, spreadsheets, presentations, and emails.Calendar Management: Familiarity with tools like Outlook or Google Calendar for efficiently scheduling appointments and meetings.Virtual Meetings: Experience in platforms like Zoom or Microsoft Teams for facilitating online meetings and collaborations.Data Management: Ability to handle and organize large amounts of data, maintain databases, and extract relevant information.Document Sharing: Proficiency in platforms like SharePoint or Google Drive for organizing and accessing files and documents.Exceptional Organizational Skills: Efficiently managing schedules, calendars, and complex logistics.Outstanding Communication: Strong written and verbal communication skills for professional interactions with stakeholders.Confidentiality and Discretion: Handling sensitive information with utmost trustworthiness.Adaptability and Flexibility: Thriving in dynamic and fast-paced environments.Proactivity and Anticipation: Identifying and addressing potential issues before they arise, providing valuable support to the executiveJoin our dynamic team and contribute to the success of our organization by providing indispensable support to our Executives.
