Job Description

We have an urgent position for a Receptionist for an international law firm in Dubai. The role is to start at the latest, the third week of March.Your general responsibilities will be to provide efficient and effective front-of-house service to all clients, face-to-face or via the telephone. Operate the main PBX switchboard, answering and transferring incoming calls, as well as assisting with the office's day-to-day operations.It would be best if you enjoyed working in a dynamic environment and could work autonomously and within a larger team.Essential Duties & ResponsibilitiesOperating the main telephone switchboard; answering and transferring incoming calls.Taking and delivering messages accurately, promptly and in a professional manner whilst ensuring that clients are transferred to the correct destinations.Updating and checking the firm's general voicemail box daily to ensure any messages left outside office hours are dealt with.Reserving meeting rooms in Outlook and maintaining the diary for all bookings.Ensuring the meeting room is fully stocked at all times, and pantry items are available.Ensure that clients are offered refreshments and greeted and welcomed in a professional and friendly manner.Maintaining reception area, including plants, floral arrangements, TV, magazines and general maintenance.Assisting IT with the preparation of AV equipment and uploading of presentations.Updating CRM (Interaction) as and when required.Maintaining an operations manual for reception.Booking and receiving couriers.Scanning of documents, adding to and maintaining files.Providing cover and assisting the Office Assistant as and when required.Attending MOFA for legalisation of documents if required.Ability and willingness to work outside of contracted working hours, as requested.Assisting accounts with the posting of telephone invoices.Assisting the Business Operations Manager with any tasks as and when necessary.Any additional operations / administration tasks that may ariseThe Following Is RequiredEnthusiastic and confident personalityExcellent client-facingClear and fluent EnglishHappy and unflappableAlways willing to help wherever requiredIf this sounds like the role for you, please email your CV to discuss.
