Senior Document control (Sr. DC) are responsible for managing DMCC Project documents while also ensuring their accuracy, quality, and integrity. This role help companies adhere to record retention policies, safeguard information, and retrieve data more effectively.Sr. DC will ensure and manage track of the company documents. I.e., scan, image, organize and maintain documents, adhering to the company's document life-cycle procedures, and they archive inactive records in accordance with the records retention schedule. Oversee centralized Project’s archive of data and records, ensuring secure processes and limited access control.Responsibilities:Monitoring document management within the PMCS, carrying out day to day documentation tasks, as well as safe keeping depository, submittals & drawing management, documents status & flow, documents back logs, document numbering, folder structure, filling index and archiving. Maintain standard Project Documentation. (Maintain the files and control logs as required by the project)Coordinate actions/responses by the responsible team members and draft responses to all communications to close out each case.Overseeing the document data accurately into the standard registers, ensuring that the information is up to date. Verify completeness and accuracy of stored documentation, as well as appropriate file formatting. Coordinate and maintain, store and retrieve technical submissions, drawings and specifications relating to Project Management Control System. Responsible to compile comprehensive historical information and references required by Director of Property, Head of Asset Management, Legal, External and Internal Counsels, Commercial, Finance as well as Government Auditors. Responsible to provide required information to close out legacy issues and finalize all pending SPAs with third party Sub-Developers. Co-ordination of Project Handover Documents with Consultant and Facility Management team to ensure proper handoverManage timely and accurate delivery, and pick up of important office correspondence. Items to be couriered should be sent on time, tracked and followed up for efficient delivery. Help in the compilation of any requested department reportsControl and supervise information retrieval and disbursement processes, observing all legal regulations regarding restricted information. Respond to requests for information in a timely mannerMaintain the Administration of electronic and hardcopy filing systems in accordance with the Property Management Processes (PMgP) procedures. Coordinate for Contract approvals, Claims, Invoices etc. within the general internal departmentOversee the Register and transmit internal, vendor and client documentation for the project. Also to ensure that formats comply with company and client standards Monitor and track critical data/information affecting the performance of the overall project progress. Qualifications:Diploma or GraduateAt least 10 years related work experience with consultants/contractor/Developer in office Project documentation tasks. Knowledge of project documentation process within a PMCS such as Trimble Proliance, PMWeb, Aconex, Innovaya or similar collaboration system.
