Job Description
- Finds new additional overseas brokers.
- Has 5% discount approval for clients during negotiations without management approval.
- Communicates with office brokers, ensures new searches for additional brokers.
- Finds local brokers for more exposure locally in the market.
- Monitors and compares Keys to competitor prices in Egypt.
- Handles client complaints, finds quick solutions.
- Requests feedback from exiting and current clients and forwards to web designer. Ensures all logos are up to date once approved by clients.
- Manages with SBCC to obtain twice a year feedback from existing clients. Decides on format, communication and follow through on receiving and seeing if action is needed from feedback.
- Ensures timely communication is prepared for renewal requests with clients and no contract lapses. Annual raises to approve with management.
- Handles client change requests of additional furniture, office changes etc.
- Communicates with lawyer with any new client changes requested in standard rental contracts
- Approves monthly payroll prepared by finance by 25th maximum.
- Updates rental price list yearly once compared to market.
- Monitors admin staff holiday balances and ensure planned throughout the year.
- Assesses needs for additional telephone lines, internet speeds, router changes to ensure the Business centers are running smoothly.
- Maintains and updates disaster recovery plan and co-ordinates with external IT to achieve it.
- Maintains standard set for centers by management.
- Regularly monitors asset purchase/replacement requirements.
- Ensures training to all admin staff is provided.
- Liaises with finance for any overdue payments not collected from rental or virtual clients.
- Ensures business centers are properly manned between 9:00 am to 5:00 pm Sundays through Thursdays, finds quick replacement/shifting solutions if no-shows.
- Responsible to ensure telephone lines and internet are functioning properly every day and weekends with minimum cut in service.
- Prepares annual budget and submits in December to Finance & Operations Manager.
- Ensures out of office e-mails and telephone messages are set when required.
- Approves petty cash reimbursements prepared by SBCC.
- Executes preventive maintenance plan for center/building facilities and equipment in coordination with management. Provides quarterly requirements with estimations on changes or fixed assets purchases needed, to management.
- Handles and obtains approval on office boys, Ramadan bonus, or any other bonus requirements for office boys.
- Ensure all staff and office boys are trained in case of fire or emergency.
- Responsible for physical count and safekeeping of assets.
- Any new purchase or write off needs management approval.
- Moving of assets properly documented.
- Maintain proper floor plan for easy reference.
- Responsible for annual physical count of assets.
- Damaged assets need to be documented for write off – approval requested from management in writing and sent to finance for proper entries.
Job Requirements
- 5 years experience in the same position.
- Excellent in communication and presentation skills.
- Located in Maadi or near by.
- Office suite Experience with scheduling, budgeting
- Computer skills (Excellent in using Ms.office)
