Job Description

Job Summary: The role involves managing calendar and travel arrangements, carrying out research and data analysis, preparing reports and presentations to aid in strategic decision-making, organizing meetings, providing support on important logistics-related projects, and representing the organization in events and meetings. It involves liaising with staff in internal departments as well as with external stakeholders and governmental parties in addition to keeping up to date with and reporting on industry trends and news. 

Major Job responsibilities: 

  • Providing administrative support to CEO including but not limited to following up and reporting on projects, activities and action plans, maintaining records and filing systems, writing professional business correspondence and invitations, managing internal communications, answering telephone calls and taking messages, and managing CEO social media profiles/ connections as well as calendar and travel arrangements. 
  • Organizing and attending meetings including but not limited to preparing and distributing meeting agendas and briefings, making physical meeting arrangements including handling meeting administration, venue bookings and logistics, taking minutes of meeting and writing reports/ presentations to summarize meeting proceedings and results as well as subsequent action plans. 
  • Providing research support to CEO including but not limited to the collection, compilation and analysis of internal and external data (e.g. performance and market data), research, analysis and synthesis of important industry trends, news and events, preparing Board documents, and writing summaries of market reports and news updates. 
  • Acting as a gatekeeper for CEO office/ diary and as a liaison internally with staff of different departments as well as with external stakeholders of diverse backgrounds and governmental institutions, a role which can include accompanying/ representing the CEO in major events. 

Job Requirements

The right candidate will possess

  • A high level of maturity, political astuteness and discretion to be able to manage highly confidential information with complete confidence.
  • Excellent social and interpersonal skills with a humble, cheerful and positive disposition and ability to engage confidently with a diverse audience, both internally with staff members at different levels and externally with a wide variety of stakeholders including board members.
  • Ability to work independently and proactively at a fast pace to anticipate and cater to CEO needs and requirements within a tight schedule as well as be an effective team member when required.
  • High flexibility and agility to be able to respond to requests, last minute inquiries and fast-changing schedules quickly and efficiently
  • Strong research, data analysis and writing/ reporting skills to undertake research for the CEO in diverse areas ranging from industry trends and events to suitable training programs, providing bullet-point summaries of key documents at short notice, drafting PowerPoint presentations and external letters and emails as required, and providing support on developing talking points and social media communications.
  • Excellent communications skills (verbal and written) in English and Arabic, other languages are a great plus; fast typing and excellent proof-reading skills also needed.
  • Excellent organizational, time management and follow- up skills as well as alertness are important because calendar management, follow-up on activities and the prioritization of tasks are an integral part of this role.
  • Ability to work under pressure and yet deliver on time with attention to detail and accuracy.
  • A presentable appearance
  • Ability to handle large amounts of data on Excel including carrying out advanced functions and pivot tables and creating graphs and charts is needed.
  • A bachelor’s degree in mass communication, economics, logistics or business administration is preferred and an MBA is a great plus; previous knowledge of the logistics industry is a must.
  • Experience in marketing and/or business development is a great plus and so is hands-on knowledge of finance.
  • Strong knowledge of MS Office, especially Outlook, PowerPoint and Excel is a must; an interest in AI trends and social media is a great plus.
