Job Description
- Manage the CEO's calendar by scheduling meetings, appointments, and events.
- Prepare meeting agendas, materials, and presentations in advance.
- Assist in time management by reminding the CEO of upcoming commitments.
- Prioritize and respond to emails, messages and phone calls on behalf of the CEO.
- Draft & proofread correspondence, ensuring accurate and professional communication.
- Organize documents, files, and records for easy retrieval and reference.
- Conduct research and on relevant topics and compile summaries for the CEO's use.
- Plan and coordinate meetings, conferences, and events that involve the CEO.
- Manage event logistics, including venue booking and catering.
- Book flights, accommodation, transportation, and necessary travel documents.
- Create detailed travel itineraries, including meeting schedules and contact information.
- Handle confidential information, documents, and discussions with the highest level of discretion.
- Implement security measures to safeguard sensitive data and materials.
- Assess the urgency and importance of tasks to effectively prioritize the CEO's workload.
- Coordinate with the CEO to adjust schedules and commitments as needed.
- Facilitate communication between the CEO and other executives.
Job Requirements
- Bachelor's degree in Business Administration, Communication, or a related field is a must.
- MBA degree is preferred.
- Additional courses or certifications in office administration, executive assistance, or project management are advantageous.
- Strong proficiency in spoken and written English.
- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for communication and document management.
- Familiarity with scheduling software and tools for efficient calendar management.
