Job Description
- Provide administrative and clerical support for the office of the Manager.
- Handling and organizing meetings inside and outside the company
- Responsible for taking Minutes Of Meeting, comments and details to provide general assistance during meetings.
- Send the Minutes Of Meeting for all attended employees.
- Dealing with the Manager incoming emails and replies for necessary and urgent issues.
- Notify the Manager with all Important and urgent mails that needs his decision.
- Screening phone calls, inquires and requests, and handling them when appropriate.
- Handling any needed signature from the Manager to be signed in a timely manner.
- Responsible for Scheduling the Manager meetings via Outlook calendar.
- Responsible for any internal communication with managers and employees.
- Arranging travel, visas and accommodation for the Manager and travelling employees.
- Filing system hard copy and soft copies.
- Following up pending subjects & report the feedback independently.
- Be responsible to ensure proper maintenance of the facilities; manage all housekeeping staff; monitor cleaning schedules, and ensure optimum facilities up-time.
- Organize and manage all office supplies; ensure proper stock maintenance; maintain a record of stock utilized and make necessary arrangements for replenishing exhausted items.
Job Requirements
- Minimum Age 40 Years
- Excellent communication skills.
- Excellent planning capabilities
- Proficient in Microsoft Office (Word, Excel, PowerPoint, & Outlook).
- Having good organizational skills.
- Must have exceptional attention to detail.
- Strong organizational and time management skills, and ability to prioritize.
- Excellent communication and interpersonal skills.
- Strong problem-solving skills and analytical abilities.
- MUST Good command of English language
- Good command of computer skills.
