Job Description

Receive and review through email the daily purchasing requests and check the date, time and status
Organize the departmental purchasing requests and prioritize them according to their urgency in case of multiple requests from the same department to initiate purchasing process.
Review with the Warehouse department the stock availability of the need item for purchasing and ensures the min./ max. status to finalize organizing of the requests
Search and source for the available suppliers and compare the prices’ offers in case of the item is unavailable in WH Dep.
Ensure that the Requirements are matched with the properties in the Prices’ offers and select the best offer to create the purchasing order.
Send the purchasing order to the HOD for his approval to initiate contacting with the suppliers
Contact with the supplier to send the purchasing order and ensure its receiving.
In case of the items that require an available and specific samples, the procurement specialist requests the samples from the suppliers with the required properties then send it the requested department for its acceptance or rejection
Coordinate with the Suppliers and the warehouse department about the delivery time of the purchased order.
Establish annual contracts for the medical and non-medical inventory supplies to save the cost
Ensure that the purchased items are complied with the requested properties, price, Quantity, Quality, expired dates.etc. to avoid returns and rejections
Follow up with the Finance department the payment status for the suppliers
Provide requested reports for the department to Procurement Manager.
Comply with the department policies, instructions and guidelines
Commit to the code of ethical conduct policy and share the core values of hospital within the teamwork
Comply with the general rules that regulate dress code, punctuality and personal hygiene.
