Job Description
We are seeking a dynamic and detail-oriented Executive Assistant & HR Specialist to manage key administrative functions and oversee human resources operations. This dual-role position is designed for professionals who excel in multitasking, thrive in fast-paced environments, and are committed to ensuring organizational efficiency and a positive workplace culture.
Key Responsibilities:
1. Administrative Support:
- Maintain and manage the executive calendar, scheduling and coordinating meetings, appointments, and travel arrangements with precision.
- Prepare detailed agendas, briefing materials, and minutes for meetings, ensuring follow-up on action items.
- Act as the primary point of contact between management, internal teams, and external stakeholders, ensuring effective communication and problem resolution.
- Handle high-volume correspondence, ensuring timely responses to emails and letters.
- Organize and manage filing systems, both physical and digital, to ensure easy retrieval of documents.
- Proactively track and report on assigned tasks to ensure deadlines are met.
2. Human Resources Management:
- Support recruitment processes, including drafting job descriptions, posting vacancies, screening candidates, and scheduling interviews.
- Conduct initial interviews to assess candidate qualifications and cultural fit.
- Maintain and update employee records, including contracts, benefits, and performance evaluations.
- Assist with employee onboarding, ensuring new hires are seamlessly integrated into the company culture and operations.
- Develop and maintain HR reports, tracking metrics like turnover rates, recruitment effectiveness, and employee engagement.
- Help organize training programs, workshops, and team-building activities to foster professional growth and teamwork.
3. Operational Efficiency:
- Assist in developing and implementing organizational policies and procedures to enhance productivity and compliance.
- Track and monitor the progress of company-wide projects, ensuring alignment with goals.
- Provide logistical and operational support for events, conferences, or special initiatives.
- Coordinate and resolve administrative challenges across departments, maintaining a hands-on approach to problem-solving.
4. Reporting and Analysis:
- Prepare detailed weekly and monthly reports for senior management, summarizing team performance, task progress, and HR activities.
- Analyze employee data to identify trends, opportunities for improvement, and areas of concern.
- Conduct regular audits of HR documentation and administrative processes to ensure compliance and accuracy.
- Maintain strict confidentiality when handling sensitive company information or employee data.
Job Requirements
- Experience:
- Minimum 5 years of proven experience in administrative roles, HR roles, or a combination of both, with a preference for candidates experienced in managing dual responsibilities.
- Technical Skills:
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook) and HR software tools.
- Experience with project management tools is a plus.
- Familiarity with labor laws and HR best practices.
- Core Competencies:
- Excellent verbal and written communication skills in English, with the ability to produce clear, concise reports and correspondence.
- Outstanding organizational and multitasking abilities, with a proven track record of managing complex schedules and competing priorities.
- Strong analytical and problem-solving skills, with a focus on operational improvement.
- High emotional intelligence and interpersonal skills for effective team collaboration and conflict resolution.
- Education:
- Bachelor’s degree in Business Administration, Human Resources, or a related field. Master’s degree or professional HR certification is a plus.
- Additional Requirements:
- Resident of Nasr City or nearby areas.
- Working Days: Saturday to Thursday.
- Working Hours: 9:00 AM to 6:00 PM.
