About the Job

Main Duties:

  • Answering telephone calls and passing them on
  • Greeting and assisting visitors to the office.
  • Prepare and mail all Aramex/DHL/UPS/Fed Ex packages.
  • Oversee all administrative aspects of seminars including registrations, confirmations, certificates, badges & evaluations, preparation and mailing of materials to seminar sight
  • Filing of materials in general files area
  • Assist with bookkeeping/accounting functions as appropriate
  • Be familiar with functions of Office Manager so as to enable him/her to assume the duties of the Office Manager in his/her absence.
  • May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required
  • Carrying administrative duties such as filing, typing, copying, binding, scanning etc.
  • Organising travel arrangements for senior managers.
  • Writing letters and emails on behalf of other office staff.
  • Booking conference calls, rooms, taxis, couriers, hotels etc.
  • Processing expenses sheets and invoices.
  • Monitoring stationary levels and ordering office supplies.
  • Provide information to internal colleagues or external enquirers.
  • Taking accurate minutes of meetings.
  • Coordinating office procedures.
  • Develop and update administrative systems to make them more efficient.
  • Resolve administrative problems.
  • Managing staff appointments.
  • Coordinating repairs to office equipment.
