Job Description

This position will begin as part-time for a period of 3 months, after which we will evaluate whether to transition to full-time, continue part-time, or conclude employment based on performance and business needs.

Responsibilities

The Administrator will assist in daily business operations, including but not limited to:

Email & Communication

  • Check the CookDocs support email daily for any demo bookings, inquiries, or emails needing a response.
  • Send occasional emails on behalf of CookDocs, including proposals and other business communications.
  • Join any necessary meetings/calls to discuss tasks and provide input.
  • Search for and communicate with contractors for website development, QA, legal, and finance.

Payment & Expense Handling

  • Input expenses into Accounting software via the mobile app.
  • Make business expense payments via Instapay, or company card when requested.
  • Create and send payment links, subscriptions, and invoices to clients via Stripe.

Client & Backend Support

  • Create CookDocs client accounts through the backend, communicating any system issues or needed optimizations.

Organization & Research

  • Organize documents and conduct research on requested topics.
  • Identify opportunities to improve business operations and put simple systems in place.
  • Create SOP documents to standardize current working procedures when necessary.

Occasional Executive Assistant Tasks

  • Book reservations, travel arrangements, and handle business inquiries when needed.
  • Plan meetings and take detailed minutes
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Act as the point of contact for internal and external clients

Job Requirements

Requirements

  • Strong written and spoken English communication skills
  • Ability to manage multiple administrative tasks efficiently
  • Comfortable using email, mobile apps, and online platforms (e.g., Stripe, Google Workspace, etc.)
  • Proactive and resourceful in researching and solving problems independently
  • Reliable with time-sensitive tasks such as payments, meeting coordination, and client support
  • Familiarity with creating simple SOPs or organizing workflows is a plus
  • Previous experience in administrative support or operations is preferred
  • Able to join virtual meetings and communicate with international teams
  • Willing to start in a part-time role with the possibility of transitioning to full-time after a 3-month evaluation period
