Job Description
- Managing filing system;
- Recording office expenditure and managing the budget;
- Organizing the office layout and maintaining supplies of stationery and equipment;
- Reporting and arranging for any necessary repairs in the management office;
- Handling the recruitment of new staff(selecting CVs-arranging interview appointments when needed);
- Delegating work to staff (Housekeepers-Office boys) and managing their workload and output;
- Booking transport and accommodation;
- Ordering stationery and furniture;
- Dealing with correspondence, complaints and queries;
- Supervising and monitoring the work staff (Housekeepers-Office boys);
- Provide administrative and clerical support to departments or individuals;
- Scheduling meetings, arranging appointments and arranging conference rooms;
- Alert manager about cancellations or new meetings;
- Prepare correspondence and stuff mail into envelopes;
- Arrange for outgoing mail and packages to be picked up;
- Greet and receive visitor;
- Prepare confidential and sensitive documents;
- Determine matters of top priority and handle accordingly;
- Maintain office procedures;
- Operate office equipment, such as photocopy machine and scanner;
- Relay directives, instructions and assignment to executives;
- Receive and relay telephone messages;
- Direct the general public to the appropriate staff member;
- Maintain hard copy and electronic filing system;
- Sign for DHL/Fed Ex packages.
Job Requirements
