Job Description

General Responsibilities and Duties:
 

  • To support through office operations leadership, including the development, planning, delivery and monitoring of school support services; risk management; policy development.
  • The post holder will be expected to contribute to the strategic development of the School as a member of the wider leadership team.
  • The Senior Administration Manager will also line manage School Site Operations including Health & Safety.
  • Work with all Senior Leaders within the School to maximise efficiency within the requirements to deliver curriculum and services
  • Building close working relationships with the Headteacher, Finance Manager and Assistant Heads
  • To maintain Staff and Pupil confidentiality.
  • To undertake training as appropriate.
  • To participate in the performance management programme.
  • To undertake other responsibilities within the overall purpose and scope of the post.

Specific Duties:
 

  • Management of HR, reception, marketing, medical, administrative, premises, cover, library, exams, grounds, catering and cleaning staff establishing high levels of customer service.
  • Line managing accountable functions, meeting regularly with respective managers to support, action plan and review progress.
  • Maintaining comprehensive and robust procedures and systems for all operational functions.
  • Management of Staff workforce census returns.
  • Management of the School’s annual support staff performance management systems.
  • Oversee the preparation of the School Calendar.
  • Attending and contributing effectively to regular Leadership Team meetings, as needed.
  • Advising the Governing Body on School and Trust policies relating to premises, staffing and administration and contributing to the school planning processes.
  • Acting as the School’s senior representative liaising with external contractors as required.
  • To ensure that staff and Governors are aware of their duties toward GDPR, the Data Protection Act and Freedom of Information Act and therefore protecting the information held by the school.
  • Contributing to the ongoing development of business processes and systems.
  • Development, marketing and management of business activities, income generation and supplementation. Maintaining appropriate networks of business contacts. Bringing proposals to
    the Headteacher and Governors.
  • Managing the procurement of external contracts and monitoring performance to ensure effective service delivery.
  • Exploring avenues for additional funding through grants, bids and courses offered that generate additional income to further enhance the School and build additional capability to support students’ learning and progress.
  • Management of the estate and delivery of effective site maintenance services and security including: Risk management and compliance with relevant legislative obligations including health & safety (but not including institution-wide responsibility for safeguarding and child protection) retaining such records as are required such as incident reports, ands asbestos register.
  • Produce school premises development plan detailing activity over time.
  • Overseeing the School’s lettings processes and liaising with the Site Officer regarding operational issues as required.
  • Managing the School’s relationship with the external professionals including recruitment, contracts and payroll management.
  • Implement actions that improve the school and the quality of education (e.g. building renovations, new guidelines for students, new subjects)
  • Help shape and uphold the vision of the school
  • Provide administrative support to a team of lecturers, tutors or teachers
  • Manage the student life cycle from registration/admission to graduation/leaving 
  • Deal with queries and complaints procedures
  • Maintain high levels of quality assurance, including course evaluation and course approval procedures
  • Supervise other administrative staff
  • Communicate with partner institutions, other institutions, external agencies, government departments, and prospective students
  • Organize and facilitate a variety of educational or social activities.
     

Job Requirements

Qualifications

  • 3-4 years of managerial and supervisory experience, preferably in the private school industry
  • Strong knowledge and understanding of management with a focus on excellent customer service through leadership
  • Excellent communication and presentation skills
  • Possess strong leadership ability to perform the duties of managing, coordinating and directing school operations with a particular focus on training and administration, with daily support to other functional areas of school operations
