Job Description

  • Responsible to coordinate all administration and logistics related tasks for the business in coordination and at the direction of the lab manager.
  • In charge of shipping samples to ALS Analytical Laboratories which includes obtaining the needed approvals from Egyptian Mineral Resources Authority and coordinating with shipping forwarders in terms of pricing and shipping procedures. This includes updating ALS System with tracking numbers and shipments follow up.
  • In charge of importing procedures and documentations for any shipments coming to the company.
  • Issuance and renewal of company official documents and Insurance policies.
  • Coordinate with accountants and make sure they receive all invoices, receipts, and other legal documents required to keep the books of the company up to date at all times.
  • In coordination with Accounting Firm, handle all the procedures with Social Security, VAT, Tax Authority, Labor office and any other governmental bodies related to the company activities. All actions with governmental bodies should be discussed and approved by the Lab Manager/General Manager.
  • Assist on obtaining and renewing expat employees’ residence permits, exit re-entry visas and work permits.
  • Keep an up to date record of the expenses in Marsa Alam Laboratory and submit it on a weekly basis to the Accounting Firm.
  • Handle the purchasing for the operation’s requirements at the direction of the lab manager, which includes getting quotations, issuing purchase orders and following up the delivery from Suppliers.
  • Assisting the Lab Manager in administrative related issues which include, but not limited to, keeping an accurate record of employee time sheets at all times, handle employee complaints and help lab manager in HR-related issues, including disciplinary actions.
  • Following up and supervising the bookings of flights and hotels.
  • Any other task related to the company business as requested by the Lab Manager.

Job Requirements

  • The employee will be based on Marsa Alam and he/she should be willing to travel between Marsa Alam and other cities depend on the operation and business requirements.
  • The company will give salary inclusive to housing and transportation in Marsa Alam and in case of business trips the company will shoulder the expenses of tickets and housing outside Marsa Alam.
  • Quick joining dates (less than one month) is plus.
  • Fluent speaking and good writing skills in English is must.
  • Experience in Governmental procedures and importing/exporting procedure is plus.
